How to Add Data Collection Fields in Service Guides

Alek Alek

Hi,

Thank you for visiting our Qtrac Knowledge Base library. We hope the below article will assist you. Based on your inquiry, it looks like you are trying to add Data Collection Fields to a step in a Service Guide. Data Collection Fields let associates capture structured information during a visit directly from the Service Guide — such as identification details, loan amounts, or any other service-specific data. The captured data is saved against the visit record and is available in Qtrac Insights and CRM exports. In order to accomplish this, you will need the following permissions:

Admin Role with access to Workflow settings and editing permissions.

Once you confirm that you do have access to these settings, please follow these steps:

  1. Log in to the Qtrac Admin Portal.
  2. In the left navigation menu, click Workflow, then select Service Guides.
  3. Open the Service Guide you want to configure.
  4. In the Steps section, click the step where the data fields should appear to open the Edit Step panel.
  5. Scroll to the Data Collection Fields section within the step editor and click Add Field.
  6. Enter the Field Label — the label associates will see on their dashboard (e.g., "Identification type", "Identification number", "Loan Amount", "Collateral").
  7. From the Field Type dropdown, select the input type examples: Text, Number, Dropdown, Checkbox, or Date.
  8. If you selected a field that has multiple answers like Multiselector, Options, Dropdown or Button List, you have to add the Options with commas between for each choice. Example:
  9. Tick Required if the associate must fill in this field before closing the visit.
  10. Click Save Changes

The fields appear inside the step on the associate dashboard when they are serving a matching visit. Associates fill in the fields and click the (checkmark) button on the step to mark it complete.

Note: Repeat steps 5–10 to add more fields to this step, or navigate to another step to add fields there.

We hope this article helped you out with your request and clarified things a little bit more.
