Hi,
Thank you for visiting our Qtrac Knowledge Base library. We hope the below article will assist you. Based on your inquiry, it looks like you are trying to schedule an Insights report for automatic recurring delivery. In order to accomplish this, you will need the following permissions:
Admin or Manager role with access to the Insights module. The report must be saved before scheduling.
Once you confirm that you do have access to these settings, please follow these steps:
Option 1: Schedule from within an open report
-
Open the saved Insights report you want to schedule.
-
Click the ⋮ (more options) button in the report toolbar, or look for the Schedule icon.
-
Select Schedule Report from the options.
-
In the schedule dialog, set the Cadence: Daily, Weekly, or Monthly.
-
Set the Delivery Time — the time of day the report will be generated and emailed.
- Confirm the Time Zone — reports default to branch local time.
-
In the Recipients field, enter the email addresses or distribution list(s) that should receive the report. Multiple recipients are supported.
-
Select the delivery Format: PDF (visual snapshot of the report, ideal for stakeholders and presentations) or CSV (structured data for further analysis in Excel, Power BI, or Tableau).
-
Optionally add a custom Subject line and Message for the delivery email.
-
Click Save Schedule to activate recurring delivery.
Option 2: Schedule from the Insights reports list
- Navigate to the Insights module to see your saved reports list.
- Find the report and click the ⋮ icon next to its name.
- Select Schedule from the dropdown menu.
- Follow steps 4–10 above to configure and save the schedule.
Note: Scheduled reports run automatically at the configured time and always reflect data as of the delivery date — they are not static snapshots from when the schedule was set up.
Note: If the report uses a relative time range filter (e.g., Last 7 Days), each scheduled delivery will cover the 7 days prior to that delivery date — not the 7 days prior to when you created the schedule.
Tip: Send scheduled reports to a shared distribution list (e.g., branch-managers@yourcompany.com) rather than individual inboxes. This makes it easy to update the recipient list without editing each schedule separately.
We hope this article helped you out with your request and clarified things a little bit more.
