Use this checklist to ensure your organization is compliant and ready to send SMS messages in the United States using Qtrac.
✅ Before SMS Can Be Enabled
1. Brand Registration (One‑Time)
Confirm the following information is ready and accurate:
- ⬜ Legal organization name
- ⬜ Business type and physical address
- ⬜ EIN / Tax ID (must match business address)
- ⬜ Company website
- ⬜ Primary point of contact (POC):
- Name
- Title
- Phone number (reachable for approval)
✅ Qtrac submits this on your behalf.
✅ Campaign Registration (Per Use Case)
For each SMS use case, confirm:
- ⬜ Purpose of messages (e.g., alerts, notifications, queue updates)
- ⬜ Sample SMS message content
- ⬜ Expected message frequency
- ⬜ Description of how users opt in to receive messages
👉 SMS opt‑in is reviewed at this stage
✅ Mandatory SMS Opt‑In (Required)
If you collect phone numbers and send SMS messages, you must have an explicit opt‑in.
Confirm all of the following are true:
- ⬜ Opt‑in is visible at the point where the phone number is collected
- ⬜ Users clearly agree to receive SMS messages
- ⬜ “Message and data rates may apply” is stated
- ⬜ “Message frequency may vary” is stated
- ⬜ Opt‑out instruction included:
- ⬜ Text STOP to unsubscribe
- ⬜ Help instruction included:
- ⬜ Text HELP for assistance
✅ Required Links in the Opt‑In
Confirm your opt‑in includes links to:
- ⬜ Privacy Policy
- ⬜ Terms of Use
✅ Choose Your Policy Option
✅ Option 1: Use Qtrac Policies (Recommended)
- ⬜ SMS message identifies Qtrac as the provider (on behalf of your organization)
- ⬜ Privacy Policy links to Qtrac Privacy Policy
- ⬜ Terms of Use link to Qtrac Terms of Use
✅ Fastest approval, lowest risk
⚠️ Option 2: Use Your Own Policies
If you use your own website links, confirm:
- ⬜ Your Privacy Policy explicitly mentions SMS / mobile messaging
- ⬜ It explains how mobile data is used and shared
- ⬜ Language aligns with Qtrac’s SMS data‑handling practices
⚠️ Missing or unclear SMS language may cause campaign rejection.
✅ Existing vs. New Customers
Existing Customers
- ⬜ No action required unless:
- Forms are updated
- New SMS use cases are added
- A new campaign is registered
New or Recently Live Customers
- ⬜ SMS opt‑in is implemented
- ⬜ Applies even if already live
- ⬜ Required for compliance and message delivery
✅ Final Verification
Before going live, confirm:
- ⬜ Opt‑in text is clear and user‑friendly
- ⬜ Checkbox or disclaimer is visible (not hidden)
- ⬜ All required elements are present
- ⬜ Policy links are accessible and correct
